CHOIR

PURPOSE - DESCRIPTION

Photo-Directory demo 1

Create your choir's photo directory (PDF) in a few clicks, by section, with or without contact details.

Windows software (8, 10 and 11) to create PHOTO DIRECTORIES for CHOIRS (also known as a choir member directory with photos).

The software's interface is in French or English. You can switch between the two at any time, even while using the software; your data stays unchanged, only the interface changes.

MAIN FUNCTIONS

GENERAL

Create as many choirs as you like, with no limit on the number of singers.

Each choir is defined by its name and logo, and can be divided into 8 sections: Soprano, Mezzo, Alto, Countertenor, Tenor, Baritone, Bass… and even the rare Oktavist (a very low bass voice).

Each singer is identified by last name and first name. Telephone, email address and descriptive information are optional, both when entering data and when printing.

A demonstration choir is included in the application so that you can get familiar with the software quickly.

MEMBER LIST

Member List

The list of a choir's members is stored in an EXCEL file. BUT YOU DO NOT NEED EXCEL (OR ANY OTHER SPREADSHEET SOFTWARE). Martin-CHOIR has its own spreadsheet editor to create and read such files. The format is ".xlsx". An Excel file created by Martin-CHOIR is fully compatible (read/write) with other spreadsheet applications (Microsoft Excel or others), and vice versa.

For languages that use upper and lower case, you can type names without worrying about capitalization: Martin-CHOIR takes care of it. For first names, the first letter of each part of the name is capitalized and the rest is in lowercase, on screen and in printouts. For last names, several options are available:

  • ALL CAPITALS.
  • Capitalized, except nobiliary particles (de, von, van…), which stay in lowercase (Martin-CHOIR follows the main rules of most countries).
  • Traditional: like first names, first letter capitalized and the rest in lowercase.

Of course, every rule has exceptions. Martin-CHOIR lets you handle them by marking a member whose last name (or first name, or both) must be respected exactly as typed, without reformatting. Those items are displayed and printed exactly as you entered them.

PHOTOS

Each member's photo is a ".jpg" file. For good print quality, all photos must have the same height/width ratio. You do not need photo software to prepare them: Martin-CHOIR has a built-in function that resizes photos to the right ratio in a few clicks, while cropping around the face.

However, you may need to adjust brightness/contrast, color tones and other values to make the presentation uniform. For that you will need image-editing software: Martin-CHOIR can open your PC's default editor with a simple double-click.

If a member does not want to appear in the photo directory, a generic drawing can replace the missing photo. These generic drawings have a "Western" look, which may not suit many parts of the world, so you can turn them off completely; the empty slots then stay blank.

WIZARDS

A wizard creates automatically, with a single click:

  • All the folders where photos are stored on your hard disk (one folder per section);
  • The EXCEL file with the member list.

PHOTO/MEMBER LINKING WIZARD

Another very powerful wizard lets you link members with their photos, simply by dragging and dropping between the table of photos (from a digital camera, for example) and the table of choir members.

 

The photo is automatically renamed with the member's name (Lastname_Firstname.jpg) and copied into the right folder (the member's section).

The software also lets you manage the photos afterwards: “Unlink photo”, “Archive photo” or “Delete permanently”.

CONSISTENCY CHECKS

Martin-CHOIR automatically detects, and warns you about, mismatches between the photo folders and the list of members.

MULTILINGUAL PRINTOUTS

Translations for printouts

To handle every language of the world in printouts (paper or PDF), Martin-CHOIR lets you create a translation file for ALL the terms used in them. These files are tiny Excel files. Each PC can hold as many translations as you wish, so on the same PC you can produce, in 2 clicks and a few seconds, as many printed versions (in different languages) as you like.

The data you enter (names, first names, other information) and the paper or PDF printouts can be in ALL THE LANGUAGES OF THE WORLD.

“All languages” means not only languages written in the Latin alphabet, with all their accents from Northern and Eastern Europe, but also:

  • In Europe: languages written in Cyrillic, Greek, etc.
  • In Africa (examples): Swahili (Kiswahili), Zulu (isiZulu), Xhosa (isiXhosa), etc.
  • In the Middle East (examples): Arabic, Farsi.
  • In Asia (examples): Chinese, Japanese, Hindi, Thai, etc.

Yes, it really is ALL LANGUAGES (all those supported by Windows).

The generic terms that appear in the document you create ("Section", "Choir Conductor", "Page"…) are translated automatically using a dictionary built into the software. 28 (TWENTY-EIGHT) languages are provided: Čeština (Czech), Dansk (Danish), Deutsch (German), English, Español (Spanish), Français (French), Hrvatski (Croatian), Íslenska (Icelandic), Italiano (Italian), Magyar (Hungarian), Nederlands (Dutch), Norsk (Norwegian), Polski (Polish), Português (Portuguese), Slovenčina (Slovak), Slovenščina (Slovenian), Suomi (Finnish), Svenska (Swedish), Türkçe (Turkish), Ελληνικά (Greek), български (Bulgarian), Русский (Russian), Српски (Serbian), հայերեն (Armenian), العربية (Arabic), ไทย (Thai), 中文 (Simplified Chinese), 日本語 (Japanese).

Four regional languages are also provided: Brezhoneg (Breton), Català (Catalan), Corsu (Corsican), Euskara (Basque).

Any other language can be added once and for all, in a few minutes, by any user.

MULTI-CONFIGURATION

Martin-CHOIR can manage choirs with several configurations. This happens, for example, when a choir performs in different formats (different numbers of singers). Each configuration then has its own Excel file, and all the Excel files of a choir (all configurations) are kept in the same folder.

With multiple configurations, you can hide the members who are absent from a given format, using a simple check box.

To create a configuration with fewer members (for example, for a special event with a smaller group), simply:

  • duplicate an Excel list from the full version, then delete the rows of the members who are not taking part in the event;
  • no other manipulation is needed;
  • Martin-CHOIR then produces a photo directory specific to that event (with the photos of those present only).

FULLY CUSTOMIZABLE PRINTOUTS

Everything is customizable

All the terms in the photo directory can be customized.


For example:

  • The NAME of the CHOIR
  • The TITLE of the DOCUMENT. Your choice of:
    • "PHOTO DIRECTORY"
    • or "FACES & SECTIONS"
    • or free text
  • The TITLES of the LEADERS (choir conductor, section leaders…)
  • The NAMES of the SECTIONS
  • etc.

ALWAYS FLAWLESS PRINTOUTS

Perfect formatting

Printouts are perfectly formatted and presented by section.

Members are automatically sorted by section and in alphabetical order.

 

Printouts can be produced:

  • on your printer
  • or as a high-quality PDF file.

An option can also automatically convert the pages of the PDF files into high-quality image files.

Printing with a very long name

Below each photo are the first name and last name. If one of them is too wide to fit, the software first reduces the font size slightly, but never below a readable size. If a last name still does not fit, it is rotated 90° and placed to the left of the photo, where there is more room, since each photo is taller than it is wide.

CONFIDENTIALITY LEVELS

The PHOTO DIRECTORY can be produced in two versions: CONFIDENTIAL or PUBLIC. You switch between them with a simple click:

  • The full CONFIDENTIAL version is for internal use among choir members, with email addresses and/or phone numbers if you wish.
  • The PUBLIC version has no personal information and is meant to be shared outside the choir (with the audience, for example). Under the photo it can show a special status for some members (for example "Soloist") or an official award (academic, media, public…).

 

WORKING AS A TEAM: HAND OVER THE WORK

Several people can work in turn on the same choir: one enters the member list, another manages the photos, a third produces the final document.

  • Hand over to a colleague: Martin-CHOIR gathers all your work in progress (list, photos, settings) into a single handover file, password-protected if you wish. You send it to your colleague yourself (email, USB drive…).
  • Take over a colleague’s work: Martin-CHOIR opens that file in a new folder on your computer, without touching your other choirs.

Only one person works at a time: once you have handed over, you stop changing your data until your colleague sends you a new file.

Note: the handover file is not the photo directory. The PDF is produced separately, by whoever has the latest version.

INSTALLER.

It installs automatically, like any other Windows software. The installation is done in the Windows system folders.

Two versions are available:

  • An ".exe" file
    • Advantage: usable right after downloading, the simplest option.
    • Disadvantage: your browser or antivirus may block (refuse) the download.
  • A ".zip" file
    • Advantage: less likely to be blocked (except by an unusually fussy antivirus).
    • Disadvantage: needs an extra step to unzip (decompress) it.
